Building a Financial System Designed for Growth
When the team launched operations in 2023, they had a rare opportunity. Instead of migrating from an outdated system, they could build their financial and operational foundation from the beginning.
After evaluating several platforms, leadership selected Acumatica as the company’s ERP platform. This allowed them to design their processes intentionally rather than adapting to the limitations of legacy systems.
While some team members had experience with Microsoft Dynamics GP in previous roles, the goal was to avoid the structural complexity that often develops in older ERP environments.

The Challenge
Although the company started fresh with Acumatica, members of the finance team had significant experience with legacy ERP environments and understood the operational challenges those systems often posed.
Managing multiple properties or entities, each property often required its own chart of accounts.

• New GL accounts needed to be added separately for every property
• Renaming an account required updating each individual chart of accounts
• Maintaining consistency across properties became difficult

The Solution

Instead of creating separate account structures for each property, the team established a single unified chart of accounts that could be used across the organization.

If a new account is required, it can be added once and used across all properties. If an account name needs to be updated, the change only needs to be made a single time.
The system maintains consistency automatically.

Hope Longworth shared how this flexibility benefits their reporting process:
“We use the subaccounts to differentiate our financials. We can pull all of our financials for our property or divide them into different sets based on the subaccount.”
